Payment Policy

Milestone amounts, payment methods, verification evidence, reconciliation, partial payments, and dispute handling.

Updated October 2026Applies as written; a signed engagement agreement prevails where it differs.

Payment Policy

Milestone amounts, payment methods, verification evidence, reconciliation, partial payments, and dispute handling.

1. Payment structure

Payment amounts, milestones, currency, and due dates come from the approved Final Scope of Work and payment agreement. A commonly used schedule is 40% after preview approval, 30% at the agreed midpoint, and 30% at delivery; only the schedule written in the approved agreement applies. The signed engagement agreement governs where it expressly differs from this policy.

Under the standard Payment Policy, no booking fee, advance payment, administration charge, or other payment is requested before the customer approves the applicable preview. There are no hidden charges. Any signed-agreement exception must be displayed clearly and reviewed by an authorized person before activation.

2. Currency and pricing

All quoted amounts state their currency explicitly. USD is the standard currency unless another currency has been expressly agreed in writing.

No hidden charges or retroactive price changes apply to an approved scope. A revised price requires a written quotation and customer approval before it takes effect.

3. Accepted payment methods

Payment methods depend on what is actually configured and authorized for the engagement. They may include bank transfer, card payment through a configured provider, or supported online banking transfer. An unavailable or unconfigured provider is not presented as operational.

Every payment request identifies the Client ID, invoice or payment reference, project reference, milestone, amount and currency, verified payment instructions, and applicable due date. Payment instructions are provided through an authorized TECH360 communication channel.

4. Payment verification

A payment is marked paid only after the funds have been verified through the provider’s verified event, bank reconciliation, or an authorized reconciliation process. A screenshot or customer message may support an investigation but is not proof that funds were received.

The payment record identifies the amount received, currency, transaction reference, customer and invoice association, verification source and timestamp, reconciliation status, and any outstanding balance. Signed webhook verification, idempotency, and replay protection are used where supported by the configured provider. A mismatch in amount, currency, account, or invoice is sent to reconciliation rather than credited automatically.

5. Late and partial payments

Partial payments are recorded separately from outstanding balances. A partial payment does not satisfy a milestone unless both parties agree otherwise in writing.

If a payment is delayed, any work pause follows the approved agreement and is communicated to the customer where reasonably practicable. No hidden payment penalties are added.

6. Reversals, refunds, and chargebacks

A reversal or chargeback request is not automatically approved or automatically treated as invalid. It is handled under the signed engagement agreement, applicable Refund Policy, payment-provider rules, and applicable law.

Disputes, provider notifications, refunds, reversals, and reconciliation changes are recorded, and the customer is notified of relevant changes. Payment records are not altered to conceal a dispute or falsely represent a reversed transaction as settled.

7. Payment support

Include your Client ID and relevant payment reference. Never share passwords, online banking credentials, or card security codes through email or chat.
